Overview

Asset Classifications

The asset classification scheme in TrackAbout allows you to keep track of your assets at 3 different levels: category, group and type. This structure gives you more flexibility in looking up assets, displaying asset information, and reporting on assets or asset types.

Why do you need it

Asset Classifications are vital to how TrackAbout works. Asset Classifications make it easy to identify the specific categories, groups, and types of assets that you are tracking. You must have an asset classification system set up before you can move forward with tracking.

How it Works

Adding New Classifications

Add New Category

  • Go to the Asset Classifications page
    • (Type “Asset Classifications” in the Jump To box or use the left menu bar and go to TrackAbout Config > Asset Classifications)
  • Click on Asset Classifications (next to the green arrow)
  • Click Add New Top-Level Category
  • Type in the name of the category and click Save

Category Pointers: Categories are the top level of asset classification in TrackAbout, so any terms used here should be pretty general– possibly related to the main use of the product. For example: Medical, Industrial, Cleaning, Equipment, etc.

  • Go to the Asset Classifications page
    • (Type “Asset Classifications” in the Jump To box or use the left menu bar and go to TrackAbout Config > Asset Classifications)
  • Click on the Category under which you want the Group to be
  • Click Add New Group Below
  • Make sure the Category in the drop-down is correct
  • Type in the name of the group and click Save

Group Pointers: Groups are the second level of classification in TrackAbout, and should give a little more description than the category, such as the name of the gas or gas mixture.

  • Go to the Asset Classifications page
    • (Type “Asset Classifications” in the Jump To box or use the left menu bar and go to TrackAbout Config > Asset Classifications)
  • Click on the + next to the Category you want the type to be under
  • Click on the Group under which you want the Type to be
  • Click Add New Type Below
  • Make sure the Category and the Group in the drop-downs are correct
  • Type in the name of the type and click Save

Adding a Product Code

Even if the Product Code is the same as the Type, a Product Code must still be added.

  • From the menu Trackabout Config, select Add New Product Codes
  • TrackAbout Config --> Add New Product Codes (or type “Product Code Mappings” in the Jump To box)
  • Enter the Product Code and the Description
  • Select the Tracking Status. (Default is tracked) Please read (here) for a more complete and accurate description of what all the Tracking statuses mean.
  • Choose the Category, Group, and Type from the drop-down lists
  • If you are using Asset Families, choose an Asset Family.
  • Click the Save button

NOTE: If the needed Category, Group, and Type are not listed, click on the Asset Classifications link to set them up

Empty Product Codes

  • If using Empty Product Codes:
    • If the product code represents an empty asset, click the checkbox marked "Is Empty"
    • If the product code represents a full asset, select the empty product code it should be associated with from the classification list
    • Generic product codes that just indicate the size and material of the cylinder can be used during registration and then replaced with full gas codes during the first filling process
  • Click Save

Product Code Pointers: Unless there is a good reason, the product code should match the type exactly. This will reduce confusion in the long run. All product codes should start out with a Tracked status: the other statuses available are reserved for special circumstances.

If you are using Product Code Generation, be sure to add the product code to the appropriate Asset Family.
