Internal Users

General

This page is used both to add new internal users and edit existing internal users.

NOTE: This interface will vary slightly depending on specific client configurations. If you see information contained in these pages that are of use to you but not currently available through your site, please contact TrackAbout Support.


Set Up

You can navigate to the Internal Users page through the QuickSearch box in the top left corner of the website or through the Menu under TrackAbout Config:

The Internal Users page will display any existing user profiles and include various pieces of information about those accounts. Each row displaying a user profile will have links to Edit the profile or Delete the profile.

When creating a new user profile click the link in the top right corner of the User Profile table titled Add New User.

  1. Users must be given both a first and last name and assigned to an internal location.
  2. Choose a home location.
  3. Accounting ID. This field is optional and can be used for those clients who assign accounting numbers to their personnel.
  4. If your TrackAbout instance requires multiple languages, this needs to be set up through TrackAbout Support. Once this is done, a drop down will be available through the User Profile:

Mobile Unit and Web Access

You may set up the user for Mobile Unit Access, Web Access, both or neither. Users given Mobile Unit Access will appear on the mobile unit's login screen when the location the user is assigned to is selected. Devices must be synced in order to take up changes to users made on this page.

If a user is given Web Access, that user must be given either an E-mail Address or a Login Username. Users that are given neither Mobile Unit Access nor Web Access are considered disabled and cannot perform any actions within TrackAbout.

Mobile Passwords

TrackAbout supports mobile passwords on the mobile units, but your company may not have this feature enabled. If the feature is enabled, and if you are giving your user Mobile Unit Access, you will see a mobile password text box. If the user has already been assigned a mobile password, you will see a note to this effect next to the password box. If the note is not present, you will have to enter a mobile password for the user before being able to save your changes. You will want to record the password you assign to the user, because you will need to tell the user his or her password. You will not be able to view the password once it has been set. You can always reset the mobile password by returning to this page.

Web Site Passwords

All users that are given Web Access must have a password. You can use this page to assign a new web user a password, or you may reset an existing user's password. For new users, it is recommended that you either assign them a password or send them a Welcome E-Mail. The Welcome E-mail contains a message informing the user about the creation of the new account and includes a web link to follow to set up his or her password. When you use the Welcome E-Mail method, you do not have to enter a password for the user on this page. If you do not assign the user a password and you do not send a Welcome E-Mail, the user will not be able to log in.

Roles and Permissions

Roles and Permissions apply to web users. Here you select which roles you would like this user to have, if any. Web users that are not assigned any roles will still have a minimum and very restricted level of access within TrackAbout.

Location Restricted Users

Users can have their access limited to just their home location, or to their home location plus select other locations. If a user is limited in this manner, s/he is known as a location-restricted user. A location-restricted user can only see assets which are in the location(s) to which s/he has been given access, including assets at customers to whose servicing location the user has access.

Set up and Configuration

Before Internal User accounts can be restricted to specific locations, there should be a Role set up via User Access Control for Location Restricted Users. Review the User_Access_Control page for information about how to set up the role.

Once a Location Restricted User role is in place, clients can assign Internal User accounts to specific locations. This is done through editing individual accounts through the Roles and Permissions section of the Edit Internal Users page.

When you select Specific Locations under Authorized Locations, the new Location Specific Role will appear under the Roles and Permissions section.

Website vs Handheld Access

How Location Restricted Users are controlled varied based on Website versus Handheld access.

From the editing an account from the Internal Users page:

Authorized Locations -- This controls which locations a user is authorized to work from on the handheld device.

Location Specific User Role -- This determines what Location Restricted Users are permitted to View, Add and Edit on the website.

Restrictions and Limitations

If a Location Restricted User searches for a barcode that is not currently in their location or the location of one of their customers, then they cannot see it. It is as if this barcode does not exist. (Yves Sept 2014)
