Summary
What to do when you have assets that need to be removed from your inventory? In some cases, this may pertain to old items that need to be decommissioned. In others, this could be assets which have been sold off to customers that you won't need to track any further.
TrackAbout provides a means to remove an asset from active service. The scrapped asset will no longer be counted against internal inventory and will not be permitted for use in regular TrackAbout processes. Scenarios that would apply to the need for removing assets from inventory include condemning, scrapping, retiring and/or selling assets.
Condemn and Sell Assets features are included in your Core Tracking subscription. Contact TrackAbout Support to get it set up.
Handheld Functionality
Scrap Assets
Scrap Assets (available with TAM6) is a simple action to scan assets deemed for scrapping/condemning.
- Choose the Scrap Assets action.
- Scan or enter information about the assets to be scrapped.
- Save the action.
Sell Assets
Like Scrap Assets, Sell Assets (available with TAM6) is also a simple action to scan assets deemed for scrapping/condemning.
- Choose the Sell Assets action.
- Scan or enter information about the assets to be sold.
- Save the action.
Capturing Reasons
When an operator uses the handheld for the purpose of condemning/scrapping assets, the system can be configured to require a reason for the scrapping.
Reasons shown to operators are determined by the client during feature configuration. The reasons appear in a dropdown list and selection is required before the operator can save the action.
This information will be visible on the website record.
Validation and Business Rules
Scrap and Selling actions include wireless lookups. This means, when an operator scans an asset, TrackAbout will look for information specific to that asset and make sure it's valid for the action.
For instance, if an invalid asset is scanned or keyed into the Scrap Asset Screen, an error message will be shown and the asset will not be allowed to be scrapped.
There are several scenarios in which an asset might be invalid for the action depending on the business rules enabled for the client. For example:
- The asset is not registered in the system.
- The asset is in an invalid Use State for scrapping (such as "Delivered").
- The asset is know to be part of a bundle or pack.
Website Reporting
This page is used to view assets with Use States of either Condemned (scrapped) or Sold. The act of scrapping or selling these assets on the handheld will ensure that the assets in the system are no longer represented in inventory counts.
Upon navigating to this page, the report will automatically run based on the default report parameters
Update the report parameters as needed and the report will update
Each row provides two links: View – This link will open the Asset History page for the cylinder Date – This link will open the Condemn/Sell Assets record for review
The report output can be exported to CSV
Require Condemn / Sell Approval
By default, this page is for informational use only, and no action is required. However, there is support to require approval of all condemning and selling actions before they actually remove assets from inventory.
If enabled, report will allow operations manager or Admin to select which scrapped or sold assets to be approved. Simply check the box next to each asset and then click the Approve button. You will be asked to confirm the action.
Use States
For clients tracking asset Use States, upon completion of the Condemn/Sell process, asset Use States will be updated to a Retired status
Once in a Status of Retired, the asset will not be permitted for use in most TAM6 handheld actions.
